TL;DR: Record a 2-minute voice memo as you leave each job. ChatGPT or Claude turns it into a priced quote from your rate card and past quotes. You check every number and send it within 2 hours. Setup takes about an hour, once. Each quote then takes 10 to 15 minutes.
Your next quote can land in the customer's phone about 2 hours after you leave their house.
You talk for 2 minutes on the way to the truck. AI turns that into a clean quote in your format, priced from your rate card. You check the numbers, and you hit send.
It works for painters, roofers, cleaning companies, caterers, and anyone else who walks a job and then writes a price.
Why a fast quote is worth setting up
Homeowners and clients increasingly go with whoever sends a real number first. One contractor tracked 3.5 years of his own data and found that getting the homeowner some estimate within 2 hours made him "far more likely" to win.
Every quote also costs you money before you send it. Daniel Dixon, who runs a coatings business, puts his cost at $400 to $500 per quote. The lead alone runs about $250, and his sales time and driving make up the rest. A fast, clean quote is how that money comes back to you.
And it gives you your evenings back. You still check every number. The AI does the typing.
One owner put it this way: "I made $20,000 in the last month and a half using Claude to do these professional proposals." That's Dan Ninerell of Modern Classical Chefs, quoted by Anthropic.
The play: The voice-memo-to-quote SOP
Time: about 60 minutes once to build your quote kit, then a target of 10 to 15 minutes per quote (our estimates)
Setup. Build your quote kit (about 60 min, once).
Put these in one folder:
Your price list or rate card
2 or 3 past quotes you liked
Your payment and deposit terms
Your real warranty language
Your logo or letterhead template
On free Claude you can save them in a Project (up to 5). On ChatGPT's free plan, upload them each time. A paid Claude plan also lets you install the Claude for Small Business plugin and use its /proposal-builder workflow.
Step 1. Record a 2-minute memo as you leave.
Cover the scope, measurements, materials, access issues and what the customer cares about most. Snap 3 to 5 photos.
Step 2. Upload and prompt.
Upload the memo (or its transcript) and your photos. Add your quote kit files too (in a paid Project they're already loaded). Then paste this:
Using my rate card and my past quotes as the template, draft a quote for this job. List every assumption. Show your math in a table (quantity × rate). Flag anything you had to guess.
Step 3. Check every number.
Go through every measurement, quantity, price and line item against your notes. Tony Severino, a painting contractor near Chicago, caught Claude using a floor-area multiplier instead of real wall measurements on a bid. His tip: always ask it to "show me your work."
Step 4. Send it by text and email.
Your goal is under 2 hours from the moment you leave the site.
Step 5. Follow up 4 times.
Set follow-ups for day 1, day 3, day 7 and day 14. Many field-service tools can send these for you. Anything still open after day 14 goes on the reactivation list from Tuesday's issue (Oct 20).
SOP card to print and tape to the dash:
Memo → Draft → Check numbers → Send within 2 hrs → Follow up on days 1, 3, 7 and 14
4 rules before you send a quote
Customer details are fine with the right settings. Names, addresses, phone numbers and job details are low sensitivity. Use a paid or business plan, or turn off model training in the tool's data settings.
Health practices, keep patient info in your practice software. Treatment plans and estimates at dental, med spa, chiro and PT offices are health information. Use your practice software's built-in estimate tools, or a vendor that signs a BAA.
AI drafts, and you approve every price. You send each quote yourself, after you check it. Watch for made-up line items and wrong quantities.
Paste your real warranty and licensing terms. Tell the AI to use them word for word.
Leverage Math
LEVERAGE MATH: What a fast quote is worth
Time Involved
Setup time: about 60 minutes, once (our estimate)
Time per quote: a target of 10 to 15 minutes (our estimate)
What's on the line
Cost to produce 1 quote: $400 to $500 in Dixon's coatings business, with the lead about $250 of that
Speed: some estimate within 2 hours made one contractor "far more likely" to win, from 3.5 years of his data
One owner's result: "$20,000 in the last month and a half" from Claude-built proposals
Our math on Dixon's number: 10 open quotes at $400 each is $4,000 already spent (our arithmetic)
Your turn (fill this in after your next few quotes)
Minutes per quote, your usual way (time it): ______
Minutes per quote, memo method: ______
Hours from leaving the site to quote sent: ______
Quotes open in your system right now: ______
Here's my honest read.
Your first couple of quotes will run slower while you tune your quote kit and catch the AI's guesses. A guest on a home service podcast described a driveway estimate scribbled on an envelope becoming a professional proposal in "about 30 seconds of talking into a phone".
He works in that product category, so treat 30 seconds as a best case. Plan on 10 to 15 minutes, and spend most of it checking numbers.
The 2-hour finding comes secondhand and has no percentage attached, so I'm passing it along as one contractor's experience.
This week
Time your next 3 quotes both ways: your usual method and the memo method.
Then hit reply with both numbers. I'll share what readers find (no names, no business details) in a future issue. And for every quote that's still open after day 14, use the yes-or-no text from Tuesday's issue (Oct 20).
