TL;DR: Spend 30 minutes building a past-due reminder kit. A free AI chat writes the reminder emails and a phone script with placeholders and zero customer data. You rewrite them in your voice and paste them into your invoicing software's built-in reminders. Then you make 1 money call each Monday.

You did the work and sent the invoice. Now the friendly reminder can go out on its own, written once in your voice and sent on every invoice from here on.

Today's play builds that kit in about 30 minutes, for $0, with a free AI chat and the invoicing software you already have.

Tuesday's issue (Oct 20) was Text the No's, for winning back old quotes, and Saturday's (Oct 24) will be the voice-memo-to-quote SOP for new ones. Both are about winning the work. Today is about getting paid for work you've finished.

If you did the Oct 12 invoice audit, that one covered bills you pay. This kit covers invoices your customers owe you.

Why this is worth 30 minutes

A QuickBooks survey found that 59% of small businesses have invoices 30+ days overdue, up from 47% a year earlier. Among businesses waiting on unpaid invoices, the average owed is $17.7K.

The line that matters for a small shop: 39% said a single late payment made payroll or bills hard to cover in the past year. For 27%, a missed payment under $5,000 did it, including 12% for under $1,000.

The reminder tools are already inside software you pay for, like QuickBooks, Jobber, Square and practice-management systems. A free AI chat writes the words in about 10 minutes. You paste them in once, and they run on every invoice after that.

I like late October for this. The kit is running before November and December fill up your customers' calendars and budgets. (That timing is my own take, with no stat behind it.)

The play: The Past-Due Reminder Kit

Time: about 30 minutes (our estimate)

Step 1. Check the damage (5 minutes).

In your invoicing or accounting software, open the accounts receivable aging report (it may be called "A/R aging" or "unpaid invoices"). Write 2 numbers on paper: how many invoices are 30+ days late, and their total. Keep this report out of the AI.

Step 2. Write the kit with free AI (10 minutes).

Fill in the brackets with business info only, then paste this:

❝

I run a [type of business] called [Company]. My payment terms are [for example, due on completion or net 15]. Customers can pay by [card link, bank transfer, check or cash]. My tone is [friendly and straightforward]. Write me a past-due reminder kit using placeholders like [Customer First Name], [Invoice #], [Amount], [Due Date] and [Pay Link], with no real names:

  1. A friendly heads-up 3 days before the due date.

  2. A short "just a reminder" note a few days after the due date.

  3. A firmer note at about day 14 that invites them to call me if something's wrong with the work or they'd like a payment plan.

  4. A 4-sentence phone script I can use at day 30.

Write notes 1 to 3 in 2 versions each: an email under 80 words and a text under 300 characters. Keep the tone calm and friendly. Leave out late fees, collections, credit reporting and legal action unless I tell you they're in my terms. Give each email a subject line with the word "reminder" in it.

Step 3. Make it sound like you (5 minutes).

Rewrite any line that sounds stiff. Delete anything you wouldn't say to that customer in person. Check every term and promise against your real policy. If you don't do payment plans, cut that line.

Step 4. Turn on the reminders you already have (10 minutes).

Paste your text in and set the timing:

  • QuickBooks Online: Settings → Account and settings → Sales → Reminders, then turn on *Automatic invoice reminders*. You can set up to 3 reminders, each up to 90 days before or after the due date, and use variables like Invoice Number. Reminders only go on invoices you've already emailed.

  • Jobber: Settings → Automations → Invoice follow-up cards. You get up to 2 past-due follow-ups, each up to 90 days after the due date, sent the same way the invoice went (email or text). Use notes 2 and 3 from your kit. Requires the Connect plan or higher, which starts at $139/month for 1 user ($99/month billed annually).

  • Square Invoices: when you send an invoice by email, open *Payment reminders* and pick your reminder dates around the due date. Automatic reminders don't run on invoices sent by text. Square's pricing page lists automatic payment reminders as included on every Square plan, Square Free among them.

  • Dental, med spa, chiro, optometry and other health practices: use the statement and reminder settings in your practice-management or billing system. The AI writes generic template wording only, with zero patient details and no treatment names.

  • Paid shortcut (optional): QuickBooks' Payments AI (QuickBooks Online Essentials and up, US) can suggest a reminder schedule and draft the message, and you review it before approving. Intuit says you'll get paid 4 days faster on average when you send reminders with it. If you use it, read every draft before you approve.

Step 5. Put 1 money call on the calendar (1 minute).

Block 15 minutes every Monday to personally call anything 30+ days late, using your script from step 2. Reminders catch the customers who forgot. Your call reaches the ones with a real problem.

Bonus 2-minute check (optional): look at your payment terms. In the QuickBooks survey, 64% of businesses with no overdue invoices require immediate payment, compared with 34% of businesses with overdue invoices. That's a pattern in the survey, and it doesn't prove cause. If your residential customers get net 30 out of habit, "due on completion" for new jobs is worth a look. Talk it over with your accountant before you change terms.

7 rules before you turn it on

  • Templates only in the AI. Placeholders go in. Names, amounts, invoice numbers and phone numbers stay in your invoicing tool, and your aging report stays out of any chatbot. If you ever paste business details into Claude, turn off model training in settings first.

  • Patient balances stay in your practice software. Health practices keep statements and balances in their practice-management or billing system. AI drafts generic wording only.

  • Say only what's in your terms. Mention late fees, collections, credit reporting or legal action only if they're already in the customer's signed terms. Check with your accountant or attorney before you add late fees or change your terms.

  • Read before you approve. Review every template before you save it, including anything a built-in AI drafts for you.

  • Text only customers who agreed to texts. Jobber follow-ups go the same way the invoice went, and Square won't auto-remind on invoices sent by text.

  • Keep your payment details the same. Never change payment instructions in a reminder, and tell customers you'll never send new bank details by email.

  • You take the hard ones. Anything 30+ days late or disputed gets a phone call from you.

Leverage Math

LEVERAGE MATH: What waiting on invoices looks like

The survey numbers (QuickBooks 2026 Late Payments Report)

  • Small businesses with invoices 30+ days overdue: 59%, up from 47% a year earlier. That's a 12-point jump (our arithmetic).

  • Average owed, among businesses waiting on unpaid invoices: $17.7K, vs. $17.5K last year

  • Said 1 late payment made payroll or bills hard to cover in the past year: 39%

  • Said a missed payment under $5,000 did it: 27%, including 12% for under $1,000

What it takes

  • Time: about 30 minutes (our estimate)

Your turn (fill this in today, then again in 60 days)

  • Invoices 30+ days late today: ______ invoices / $______

  • Same numbers 60 days after turning reminders on: ______ invoices / $______

Here's my honest read.

These numbers come from a QuickBooks survey, so they describe how owners answered. Your own aging report is the number that counts for you. Reminders do their best work on customers who simply forgot. A customer who's unhappy with the job or short on cash needs to hear from you, which is why step 5 is there.

The payment-terms gap is a pattern, so I'd test a terms change on new jobs before rolling it out to everyone. Intuit's "4 days faster" is Intuit's claim, and I couldn't see how it was measured. And I can't tell you how many hours or dollars this kit will save you. Write your 2 numbers down today, and by December you'll have your own answer.

This week

Pull your aging report and turn on your reminders before next Thursday.

Then hit reply with your 2 numbers: how many invoices are 30+ days late and their total. Reply again in December with your after numbers, and I'll share the totals (no names, no business details) in a future issue.
